Freshworks launched three new AI-enabled products at The Leela Palace to 400 press, partners and customers — with 4,000 additional viewers on livestream. We built the stage, ran the broadcast, managed the press desk and shipped a 90-second highlight reel 36 hours later.

The problem
Freshworks' prior launches had been virtual-first. This one needed to feel unmistakably live — a physical room full of the right people reacting to the right moment. The launch was embargoed until 11:30am IST; anything leaked before that moment would torpedo coverage.
The AI demo had a genuine failure risk. Live demos at scale are where keynotes die. We needed either a way to de-risk the demo completely, or a fallback that felt intentional rather than defensive.
Press relationships mattered more than aesthetics. Thirty journalists from India, plus a handful from regional APAC outlets, each with specific seating preferences, interview slot requirements, and one with a 2pm hard stop for another flight.

The approach
We built the stage as a dual-surface set: a hero LED wall for brand moments + a demo station with three fail-safe layers — live software, pre-recorded fallback, and a hand-held tablet with a third backup. The audience never knew which one was running at any moment; the producer did.
Press management ran as a parallel show. We designated a "press ops" producer whose sole job was tracking arrivals, seating, coverage slots, and the embargo clock. Every journalist had a printed sheet with their interview slots and a dedicated liaison.
Livestream was the unseen hero. Full broadcast kit — six cameras, live switcher, adaptive bitrate to handle the Bangalore engineering team and the US team on slower pipes. The YouTube stream peaked at 4,100 concurrent viewers and stayed up for 2.5 hours without a single drop.
Show day
Three rehearsals over two days. Rehearsal one was bad — the keynote lead stumbled on the AI demo transition. Rehearsal two had better pacing but a missed teleprompter cue. Rehearsal three ran clean end-to-end. On show day we added a 20-minute buffer for the founder to do a silent read-through in the green room.
The demo held. The AI product did what it was supposed to do. The press room broke the embargo at 11:30am on cue and the early coverage landed in ET, Mint, YourStory within 90 minutes.
The 90-second highlight film shipped at 11:45pm the same day — 4K, colour-graded, scored. It had 180k views within 72 hours and was quoted in 14 news pieces the following week.
