Exhibition Stall Design in India: What to Know Before You Book a Vendor
Planning an exhibition stall for a trade show or expo in India? This guide covers stall types, design briefs, costs and how to choose the right stall fabrication company.

Why Your Exhibition Stall Is Your Brand's Most Exposed Moment
At a trade show or industry expo, your exhibition stall is your entire brand distilled into a few square metres. It communicates scale, ambition, and relevance before a single word is spoken. The best stalls stop traffic. The worst ones blend into the backdrop and send your team home with a handful of business cards and a vague sense of missed opportunity.
India's trade show and exhibition calendar is one of the busiest in Asia — from Auto Expo and India International Trade Fair in Delhi to the Mumbai-based industry expos, ELECRAMA, ACETECH, India Infrastructure Show and hundreds of regional B2B events across the country. Whether you are exhibiting for the first time or refreshing a stall that has seen better days, this guide gives you the framework to brief a stall design company intelligently and avoid the most common mistakes.
Types of Exhibition Stalls in India
Understanding the stall category you are working in shapes every design decision.
**Bare Stall (Shell Scheme).** A basic allotted space — typically 9–18 sqm — with a standard shell structure provided by the expo organiser. Most trade shows offer this as the entry-level option. A good stall fabrication company can transform a bare shell scheme into a distinctive brand space with custom panels, graphics, lighting and furniture.
**Island Stall.** Open on all four sides, typically from 36 sqm upward. The most visible format — visible from multiple aisles simultaneously. Requires the most design investment but delivers the highest footfall draw.
**Corner Stall.** Open on two sides, offering better visibility than a row stall without the full cost of an island. The most common format for mid-size exhibitors.
**Double-Decker Stall.** A two-level structure with a ground-floor exhibition area and an upper-floor meeting room. Used by large exhibitors who need both high-visibility public space and a private area for client conversations. Requires structural approval from the venue.
**Pavilion / Country Pavilion.** A branded area housing multiple exhibitors under a single design identity. Common at international trade fairs where a government body or trade association represents an industry cluster.
The Exhibition Stall Design Brief: What to Include
A well-written brief gets you better designs faster and eliminates back-and-forth at the vendor selection stage. Your brief should specify:
- Expo name, venue, and dates - Stall area (sqm) and stall number / location plan if available - Stall type (corner, island, shell scheme, etc.) - Primary audience (buyers, distributors, press, end consumers) - Key messages — the one or two things you want visitors to remember - Products or demos to be featured and their spatial requirements - Branding guidelines (colours, fonts, logo usage rules) - Seating and hospitality requirements (meeting table, espresso station, lounge area) - Storage requirement (brochures, samples, team baggage) - Build and breakdown timeline - Budget envelope — be specific, not aspirational
What Exhibition Stalls Cost in India
Costs include design, fabrication, installation, dismantling, and freight. Indicative ranges:
Basic shell scheme customisation (9–18 sqm, custom back-wall graphics, lighting, branded counter): ₹1.5–4 lakh.
Custom-built corner or row stall (18–36 sqm, full custom fabrication, meeting table, product display): ₹4–12 lakh.
Island stall (36–72 sqm, architectural design, LED panels, lounge seating, interactive elements): ₹12–35 lakh.
Double-decker or large pavilion (100+ sqm): ₹35 lakh and above.
These are build-only estimates. The exhibition space rental, travel and staffing for your team are separate line items.
How to Choose an Exhibition Stall Fabrication Company in India
The fabrication company you choose is as important as the design itself. A brilliant render executed by an under-resourced vendor becomes a disaster on build day. Here is what to check:
**National installation capability.** If you exhibit across multiple cities, you need a vendor with verified installation teams in those cities — not a Delhi-only workshop subcontracting in Chennai.
**Portfolio of comparable work.** Ask to see stalls they have built at the same expo or venue you are targeting. Every venue has specific rules about ceiling height, rigging restrictions, and floor load limits. Experience with the specific venue prevents expensive surprises.
**In-house vs. outsourced fabrication.** In-house fabrication gives the vendor direct quality control. Outsourcing introduces a break in accountability. Ask specifically.
**References from recent clients.** A vendor who cannot quickly provide two or three references from exhibitors at comparable shows in the last twelve months is a vendor who has had problems worth knowing about.
**Ownership of intellectual property.** Confirm in the contract that all design files and structural drawings are transferred to you after the project, not held by the vendor. You may want to reuse or adapt the stall for subsequent shows.
